Phillip Jeffries is hiring for a Talent Development Specialist/Human Resources Assistant!

You will play a significant role in shaping our unique company culture, creating onboarding systems that embody our core values and purpose.  As our Talent Development Specialist, you will partner closely with our leadership team.  You will ensure onboarding plans are designed to get new hires trained as quickly and effectively as possible, confirm that development plans effective and learning opportunities are being developed.

This position will report directly to the Director of Talent and Culture. 

What you will be doing:

Primary Responsibilities

Onboarding Systems

  • By creating a 7 Star Onboarding experience for all new hires
  • By standardizing, coordinating and reviewing completion of Onboarding Plans with supervisors
  • By owning the PJ Mentor Program, ensuring all new hires are assigned mentors who are trained and assisting in world class employee integration
  • By owning the process of continually improving the overall onboarding system (trainings, communications, assessments, tools, etc.)
  • By overseeing the onboarding survey process including creation, maintenance, analysis and improvement process
  • By conducting new hire trainings (department introductions, communications trainings, facility tours, etc.)
  • By systematizing and scheduling onboarding trainings
  • By ensuring onboarding systems are designed and executed for the sake of training/integrating new hires as quickly and effectively as possible

Coach, Train & Develop Talent

  • By creating a culture of continual learning
  • By ensuring systematized performance feedback for the entire organization, across every level of tenure
  • By supporting the organization of training and learning activities, including but not limited to:  arranging logistics, such as space, invitations, agenda distribution, collection and sharing of materials and other resources and evaluation of activities
  • By assisting with the development and delivery of learning programs through various methods of delivery including classroom instruction, webinars and eLearning
  • By facilitating conversations to determine individual and team development needs
  • By assisting with the creation of performance tools for all internal and external training initiatives
  • By compiling survey data to assess training and development opportunities
  • By owning the Learning Management System, ensuring optimal results
  • By creating and scheduling annual corporate trainings
  • By owning the creation and distribution of a world class monthly training curriculum
  • By owning the implementation, maintenance and use of a company Learning Management System including but not limited to setting up courses, schedules, registrations, tracking training sessions and attendance, managing training announcements and follow up communications
  • By creating and maintain an annual training budget
  • By assisting with the creation and execution of a leadership training program
  • By identifying and recommending meaningful training opportunities and trainers
  • By maintaining training records for all employees
  • By ensuring all managers have a learning plan that has been created, reviewed and followed up on for all team members
  • By staying up-to-date with current trends in training and talent development

Secondary Responsibilities

Recruit Talent

  • By facilitating Role Discovery Meetings
  • By creating and posting engaging role descriptions on recruiting sites
  • By conducting candidate screening calls
  • By coordinating multi-stage interview schedules including in-person, telephone, video conference and offsite
  • By arranging travel for out-of-state candidates
  • By preparing offer letters for candidates
  • By liaising with recruiting agencies
  • By representing Phillip Jeffries during on-campus career fairs
  • By conducting reference and background checks, and scheduling drug screenings
  • By having a strong social media presence that attracts top talent


  • By assisting with execution of our annual “Spirit Week” initiative
  • By inspiring the organization to choose to be motivated, engaged and passionate about their roles
  • By participating in monthly “Wow Fun Month” events
  • By consistently identifying ways to increase employee engagement
  • By assisting with corporate culture training initiatives
  • By personifying “learning mode”
  • By empowering all employees and managers to confidently discuss new ideas and grievances

Change Management

  • By being a change agent for the organization
  • By managing emotions and reactions common to transactional and transformational change
  • By assisting with diagnosing problems and implementing plans to achieve all change goals

Record Keeping                                                                                   

  • By maintaining personnel files
  • By updating necessary employee information
  • By facilitating the enforcement of appropriate policies and procedures

  • By assisting with HR projects as needed
  • By having ready, willing and able at least one person who could take over my role and perform it better than I do
  • By performing additional tasks as needed

Must have:

  • Upbeat, positive, engaging energy
  • 3 - 5 years’ experience of relevant experience
  • Experience in delivering trainings and onboarding new hires
  • Proven ability to work efficiently in a fast-paced environment
  • Hands-on experience with Learning Management Systems (LMS)
  • Keen understanding of the differences between various roles within the organization
  • Superior interpersonal abilities
  • Ability to collaborate and work autonomously
  • Aptitude for managing multiple projects simultaneously, troubleshooting and following projects through to completion, consistently on schedule and without loss of attention to detail and budget
  • HRIS experience (BambooHR) preferred
  • Strong organizational skills
  • Exceptional time management skills
  • Demonstrated initiative
  • Proven track record of creating systems and improving efficiencies
  • Timely, consistent follow-up skills
  • Excellent communication skills (verbal, nonverbal, written, listening)
  • Comfortable speaking in front of a crowd
  • Ability to maintain strict confidentiality always
  • Experience leading organizational structure conversations
  • High ethical and professional standards
  • Personify “learning mode”
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • BA degree preferred
