Phillip Jeffries is looking for an Administrative Assistant within our Sales Department!

Our team is searching for a high performing, hardworking professional to support our Rock Star Sales team.  In this role, the Administrative Assistant will be responsible for successfully supporting our International Sales Managers.  The ideal candidate wants to be a part of a high energy, fast growing company, is extremely meticulous and organized, and is committed to providing amazing support to the team.

This position will report directly to the Sales Administrator.

 What you will be doing:

  • Assist multiple Sales Managers with requests for their prospective markets
  • Act as the point person for global sales communication
  • Be a CRM expert & update changes accordingly as well as website
  • Assist in the coordination & execution sales events both domestically & internationally
  • Weekly Manager calls – host & take notes and report follow ups
  • Assist sales reps & showrooms with issues, IT helpdesk, etc.
  • Run and report on daily MSE numbers in huddle
  • Report on weekly and quarterly goals at company huddle
  • Order supplies needed for dept.
  • Ship packages
  • Arrange on-boarding meetings with other departments.
  • Arrange travel for new hires & management to HQ.
  • Ensure showroom partner sales rep on-boarding/ off-boarding process is effective
  • Coordinate launch & allocations for intl. Partners
  • Create one-page templates or “How to” on current processes”
  • Send updated address/contact lists to departments as needed
  • Assist in planning and execution of sales competitions
  • Create excel templates, docs, and PowerPoint 

Must have: 

  • Bachelor's degree required and/or prior administrative experience preferred.
  • Outstanding organizational, time management and follow up skills
  • Ability to anticipate needs
  • Self-motivated, ability to work independently
  • Communicates clearly and listens actively
  • Strong attention to detail
  • Ability to dive into any area of the business
  • Ability to be a trusted sounding board for team, providing open, honest feedback
  • Excellent computer skills including MS Word, Excel and PowerPoint, preferably advanced excel skills
  • Polished, professional presentation (phone, in-person and over e-mail)
  • Strong analytical skills
  • Excellent customer service
  • Track record for providing fast response times
  • Well versed with ERP/CRM systems
  • Has traveled internationally and is well versed in foreign cultures
  • Ability to travel both domestically & internationally
  • Ability to carry at least 25 pounds
  • Proficient in another language preferred
  • Must have an upbeat, energetic, can-do attitude
